For creating of a Credit Memo in Free Accounting the Sales Order Return for a specified Customer is required.
If you want to open this window you should select it from the Navigation pane
by pressing the button , then go to the Documents Folder
and go to Sales Documents and select the appropriate icon from the Company menu.
There is one more way of selecting this window. You can open it with the help of the main toolbar in Free Accounting. Click on
Company, then select Documents from the drop-down list, and then select Credit Memo List from the other drop-down list.
To create a new Credit Memo in the Free Accounting application:
- Right click in the working window and select Add
.

- In the Select Source Document window select from the drop-down list the Customer you want to create Credit Memo for.
- From the list of the Return SOs that were made for this Customer select the one you want to create a credit memo for.
- Enter the required information into the new document.
Bill To - The name of the Customer who is giving the items back.
Customer Address - The Customer's receiving address as a Billing Record.
Ship To - The name of the Customer's Shipping Record.
Ship To Address - The Ship To address of your Company where the items are shipped.
Credit memo number - The Credit Memo number in the Free Accounting system.
Date - The date the return was made. By default the value of this field is a today's date. It can be changed manually.
Terms - The Customer's payment terms are set on the Customer's record.
Ship Via - The way of delivery is set on the Customer's record, you can change it manually for this document.
- Check the information about the item in the following fields:
Item - The name of the item being returned.
Item Description - Additional information about the item being returned.
Reason - The reason why the item is being returned.
Returning - The quantity of the items being returned.
Returned - The quantity of the items already returned for the current sales order.
Quantity - The quantity of the items according to the sales order. It can be changed in this field. Several returns can be made for one sales order.
UOM - The unit of measure that the item is being ordered in.
Price - The price of the item being returned.
Gross Total - Shows the amount for return plus Total tax amount.
- Save and finalize the current document using Toolbar.
After the approval the following transactions will appear in the Master Transaction Ledger:
Return of Goods from Customer;
Sales Tax Return;
Undelivery of Goods from Customer.
After the approval of the Credit Memo the inventory list changes according to the qty received back.
