Free Accounting Customers List
The Free Accounting Customers List displays the records of the Customers - organizations or individual persons to whom your company sells goods or renders services.

To view the Customers List select Lists / Customers List from the Free Accounting main menu or press Customers button on the Commands Panel and select Customers List button Customers List in the Navigation Pane.

Take the following steps to add a new customer's record in the Free Accounting application:
  1. Select Lists / Customers List from the Free Accounting main menu.

  2. Right click in the Preview Pane and select Add.

  3. Enter the required information into the fields. After saving, this information can be edited by right clicking in the Preview Pane and selecting Edit or just by double clicking on the line.
  4. Press the Ok button.


Address Information:

    Add new customer window. Address information

Customer - The name of the Customer's company.
Code - This is a unique, ten-digit, alphanumeric number that identifies the Customer.
Master Customer# - This is a Customer who is parent to the new one. If the customer that you are creating is a branch of some Parent Customer, select the Master Customer for him from the drop-down list.

First Name - The first name of the contact person who represents the current Customer.
Last Name - The last name of the contact person who represents the current Customer.
Phone - The 7 or 10 digit phone number of the Customer.
Fax - The 7 or 10 digit fax number of the Customer.
Use area code - Check this box if you need to use the area code when dialing the fax number.
Address - If the company has one location, but gets their mail at a post office box, their mailing address must be entered here and their receiving address as a Shipping Record.
City - The city the Customer's company is located in.
Country - The country the Customer is in. To add a new country, go to the Add Country window, by selecting Add New from the Country drop-down.
Zip code - The postal zone of the company's street address.
County - The county the Customer's company is in.
State/Province - The State/Province the Customer's office is in. To add a new state, go to the Add State/Province window, by selecting Add New from the State/Province drop-down.

Ship To records:
Shipping Records are entered when the Customer either has more than one shipping address or his billing address is different from his shipping address.
Right click in the field of the Ship To records window and select Add to create a shipping record for the new Customer. Enter the required information.

Ship To - This is a name of the company the shipments will be addressed to.
Code - This is a unique, ten-digit, alphanumeric number that identifies the Customer.
First Name - The Customer's first name.
Last Name - The Customer's last name.
Phone - The 7 or 10 digit phone number of the Customer.
Fax - The 7 or 10 digit fax number of the Customer.
Web address - This is a web address of the Customer. Pressing the Go button opens the Customer's site.
E-mail - The Customer's e-mail through which he can be got in contact with.
Tax Code - This is the tax code that shows if the Customer is taxable or not.
Tax Jurisdiction - The tax jurisdiction to which the Customer is assigned.
Address - This is a multi-line field for the suite number and street address.
City - This is a town or city where shipments will be sent.
Country - This is a country where the shipments will be sent.
Zip code - This is a postal code in US or Canadian format.
County - This is a county of the state that the business is in.
State/Province - This is a State or Province where the shipment will be sent.

Credit Information:

SIC - Standard Industrial Classification - 4-digit codes used to categorize and uniquely identify business activities.
Use Credit Limit - Turns on/off the Credit Limit option.
Credit Limit - The maximum amount that is allowed for this Customer to owe at any given time. Company can give a credit to the customer . The Free Accounting application doesn't allow entering charges for the customer until he doesn't have amount of unpaid charges less then the amount of the credit limit.
Credit Lock - Locks customer credit, no charge can be made for the customer. There is a possibility to lock the credit limit for the customer even if the ships credit limit didn't exceed. Credit Lock has higher priority than Credit Limit.
Terms - These are the payment terms that this Customer has agreed to pay under. To add new terms, go to the New Terms window, by selecting Add New from the Terms drop-down.
Ship Via - This is how the goods will be delivered to the Customer. To add a new ship via, go to the New Ship Via window, by selecting Add New from the Ship Via drop-down.

Options:

EIN - Employer Identification Number. It's a nine-digit number assigned to employers by the federal government in the format 99-9999999.
Account - This is an account that the transactions connected with the current Customer affect. To add a new account, go to the New Account window, by selecting Add New from the Account drop-down.
Tax Code - This is a tax code that shows if the Customer is taxable or not. To add a new sales tax code, go to the New Sales Tax Code window, by selecting Add New from the Tax Code drop-down.
Tax Jurisdiction - The tax jurisdiction to which the Customer is assigned. To add a new tax jurisdiction, go to the New Tax Jurisdiction window, by selecting Add New from the Tax Jurisdiction drop-down.
Customer Class - The class, the Customer belongs to, allows the user to define the type of the Customer's business, that is necessary for reporting purposes. To add a new customer class, go to the New Customer Class window, by selecting Add New from the Customer Class drop-down.
Web address - This is a web address of the Customer. Pressing the Go button opens the Customer's site.
E-mail - The Customer's e-mail through which he can be got in contact with.
PO Required - Check this checkbox to create the Sales Orders with the number of the Purchase Order from the Customer. If you didn't add the Purchase Order number to the Sales Order you will not be able to save it.

On this tab you can create the fields that you need for inserting any necessary additional information about the current Customer. See Free Accounting Custom Fields page.
Use Search function to search for the record of a definite Customer.
